In office requirement with hours from 10am to 7pm  daily

 

Job Description

ZEALOT is seeking a highly organized and proactive Office Production Assistant to support the daily operations of the New York office and ensure a productive, well-maintained work environment.  In addition this blended role will assist local and cross company departments in their production deliverables.   The ideal candidate will be a skilled multitasker who can handle administrative responsibilities, support staff needs and manage their project support.

Responsibilities and Duties

Office Operations Support

  • Support day-to-day office operations including supplies, equipment, and facility maintenance 
  • Coordinate with building management, vendors, and service providers 
  • Serve as the primary point of contact for employee questions and office-related issues 
  • Support onboarding process for new employees in conjunction with HR and IT.  
  • Process employee expenses. 
  • Implement and improve office systems as needed for greater efficiency

Production Support

  • Support producers, editors and coordinators with tasks such as: organizing media assets, assisting with managing workflows 
  • Assist with miscellaneous Post-Production tasks to effectively support the onsite teams as well as cross functional departments that may span include both our NY and LA offices.
  • Coordinate meetings, events, and team activities 
  • Client gifting 

Communication &  Culture

  • Handle incoming calls, mail, and correspondence
  • Maintain office policies and procedures documentation
  • Be an active and contributing member of the office social planning committee 
  • Coordinate with HR, IT, and other departments on a variety of activities and events as needed

The successful candidate will have:

  • A strong interest in media and entertainment
  • Experience in office support or administrative roles
  • Strong organizational and time management skills
  • Ability to pick up new workflows and software quickly
  • Excellent written and verbal communication abilities
  • Proficiency in Google Suite, Microsoft Office Suite (Word, Excel, Outlook), Slack
  • Problem-solving mindset with attention to detail
  • The ability to work independently and within a creative team environment
  • Ability to handle sensitive information with discretion
  • Working knowledge of project management tools

Additional Information:

  • Reports to: Head of Human Resources with strong partnership with and dotted line to Head of Production Operations.
  • This is a Non-Exempt role with a pay range of $18/hr to $20/hr. The pay range is subject to change and may be modified in the future.
  • Regular business hours are Mon-Fri 10am to 7pm. However, your shift may later be determined by ZEALOT.
